After a landlord-arranged home service visit, make a brief record of what happened and what still needs follow-up. A closeout note is useful even when the visit seemed straightforward: it preserves dates, the information shared, and the next person who needs to respond. It is not a repair assessment.
Record the visit while details are fresh
Note the date and approximate time, the company or visitor name if provided, and which areas were visited. Record the purpose as it was described to you and any written summary or receipt left behind. If you were not present for part of the visit, say so rather than filling in gaps.
Use neutral language for what you observed. Separate a visitor's statement from your own observation, and avoid interpreting technical terms. Keep personal copies of messages and documents related to the visit.
List open questions and ownership
Write down what remains unresolved, who has been asked to respond, and when you plan to follow up. If you need clarification about an outcome, send the question to the landlord or property contact rather than contacting a provider outside the arrangement.
- Save the appointment notice and any visit paperwork
- Add the visit date and people involved
- Record the stated outcome without interpretation
- Note any unanswered question and its recipient
- Set a reminder for the agreed follow-up date
Keep the record connected
The renter home maintenance request log helps preserve the original issue and follow-up history. The service appointment preparation checklist can help with context for future visits. Track the next response date in the Lucru Home to-do list.
Once the note is complete, send any necessary factual update through the normal landlord or property channel. Save the message with your visit record and set a reminder only for the next step that is still open.
