A useful move-out record is a dated, neutral account of what you observed when you handed back the rental. Walk through the home in a consistent order, capture the same kinds of details in each room, and keep copies of the record. This is documentation, not an assessment of what a landlord may require.
Walk through in a repeatable order
Begin at the entrance and move through each room in the same direction each time. Include closets, shared surfaces, and areas that are easy to overlook, such as the inside of an empty cabinet. Record the date and identify the room for every set of notes or photos.
Describe what is visible rather than assigning blame or guessing about causes. "Two small marks on the wall beside the window" is more useful than a conclusion about how they happened. If a detail is unclear, note that it is unclear.
Make a record that is easy to review
- Take wide views that establish the room, then closer views of specific details
- Keep the original image files and avoid edits that change what they show
- Add a short caption with room, date, and subject
- Note areas you could not access or document
- Keep any handback correspondence with the same record
Close the loop calmly
The renter home condition photo log gives more ideas for labeling condition photos. The moving-out home checklist covers the broader departure sequence. Use the Lucru Home home management app to keep a reminder for saving the final walkthrough record.
Do not rely on memory for details that can be written down clearly. After the walkthrough, review the room list once for missed areas, save a copy somewhere you can retrieve, and note the date the keys or access items were returned.
